Booking Terms and Conditions

1. How to Make a Booking

Bookings can be made through our website, via email, or by phone. A booking is confirmed only when you receive a written confirmation from Deeper Serengeti Safaris.

2. Deposit Requirements

To secure your booking, a non-refundable deposit of 30% of the total tour cost is required at the time of booking. Your booking will not be confirmed until the deposit is received.

3. Final Payment

The remaining 70% balance must be paid no later than 30 days before your tour departure date. For bookings made within 30 days of departure, full payment (100%) is required at the time of booking.

4. Accepted Payment Methods

We accept the following payment methods:

  • Bank transfer (USD or TZS)

  • Credit card (Visa, Mastercard) – subject to 3% processing fee

  • Debit card

  • Cash upon arrival (USD or TZS)

  • M-Pesa (for Tanzania residents)

5. Cancellation by You

All cancellation requests must be submitted in writing via email. The following cancellation charges apply based on the date we receive your written notice:

6. Cancellation by Us (Deeper Serengeti Safaris)

We reserve the right to cancel a tour due to:

  • Insufficient bookings (minimum number of travelers not met)

  • Unforeseen circumstances (weather, natural disasters, political instability)

  • Park or government closures

In such cases, you will receive:

  • A full refund of all payments made, OR

  • An option to reschedule to another available date

We are not liable for any additional expenses incurred (flights, visas, insurance, etc.).

7. Changes to Your Booking

Changes Made by You:

  • Date changes: Permitted up to 45 days before departure at no charge (subject to availability)

  • Itinerary changes: May incur additional costs

  • Name changes: $50 administration fee per change

Changes Made by Us:

We may occasionally need to modify or adjust itineraries due to operational requirements. Significant changes will be communicated to you immediately, and you may choose to accept the changes or receive a full refund.

8. No-Show Policy

If you fail to arrive at the designated pickup point at the agreed time without prior notice, it will be treated as a no-show, and no refund will be provided.

9. Late Booking Fee

Bookings made less than 7 days before departure are subject to a 10% late booking fee in addition to the full tour payment.

10. Group Bookings

For group bookings of 6 or more persons:

  • A 20% deposit is required (instead of 30%)

  • Final payment due 45 days before departure

  • Group cancellation policy applies (please contact us for details)

11. Peak Season Surcharge

During peak season (June–October & December–January), a 15% surcharge may apply. This will be clearly indicated at the time of booking.

12. Currency and Exchange Rates

All prices are quoted in US Dollars (USD). If you pay in another currency, the exchange rate applied will be the bank rate on the day of payment. Deeper Serengeti Safaris is not responsible for currency fluctuations.

13. Booking Transferability

You may transfer your booking to another person at no additional charge, provided you notify us in writing at least 14 days before departure. The transferee must agree to these Booking Terms and Conditions.

14. Force Majeure

We are not liable for cancellations, delays, or changes due to events beyond our control, including but not limited to:

  • Natural disasters (floods, earthquakes, fires)

  • War, terrorism, or political unrest

  • Epidemics or pandemics

  • Government travel restrictions

  • Airport or border closures

In force majeure events, refunds will be subject to supplier policies and may be partially or fully non-refundable.

15. Travel Insurance Requirement

Travel insurance is MANDATORY for all bookings. Your policy must include:

  • Trip cancellation and interruption coverage

  • Medical expenses and emergency evacuation

  • Lost or stolen baggage

You are responsible for purchasing your own travel insurance. Deeper Serengeti Safaris is not liable for any uninsured losses.

16. Acceptance of Risk

By making a booking, you acknowledge that safaris and trekking involve inherent risks including but not limited to wildlife encounters, rough terrain, altitude sickness, and remote medical facilities. You participate at your own risk.

17. Dispute Resolution

Any disputes arising from these Booking Terms shall first be attempted to be resolved through good-faith negotiation. If unresolved, disputes shall be submitted to binding arbitration in Arusha, Tanzania, in accordance with Tanzanian law.
