Terms and Conditions – Deeperserengetisafaris

These Terms and Conditions form the basis of your contract with Deeperserengetisafaris (hereinafter “we”, “our”, or “us”), a licensed and registered safari operator in Tanzania. By booking a safari or related service with us, you agree to be bound by these Terms and Conditions. Please read them carefully before confirming your reservation.


1. Contract

Your contract is with Deeperserengetisafaris. A binding agreement is created once we have received your deposit or full payment (for bookings made less than 12 weeks before departure). Only a director of Deeperserengetisafaris has the authority to vary these conditions.


2. Safari Itinerary & Services

Clients will receive a detailed itinerary describing destinations, activities, and accommodations. We will provide all agreed services unless prevented by unforeseen circumstances (e.g., road closures, weather, park regulations, or security concerns). In such cases, we may alter the itinerary at our discretion, while ensuring alternative arrangements of comparable quality.

Please note that traveling in Tanzania and East Africa involves conditions that differ from developed countries. Sudden changes to government taxes or park fees may occur without notice. Deeperserengetisafaris reserves the right to pass these costs to clients.


3. Payment Terms

  • Deposit: A 45% deposit is required to confirm a booking. Airline tickets require 100% prepayment.

  • Balance: Final payment is due 65 days prior to the start of your safari.

  • Late Bookings: Reservations made within 65 days of departure require full prepayment at the time of booking.


4. Methods of Payment

Payments are accepted via secure bank transfer/wire transfer.


5. Cancellation by You

If you cancel your safari, the following charges apply (excluding non-refundable airline tickets):

  • 65+ days before departure: Deposit forfeited

  • 50–65 days before departure: 50% of safari cost

  • 0–50 days before departure: 100% of safari cost

All cancellations must be received in writing.


6. Amendments by You

Should you wish to alter your itinerary after confirmation, we will do our best to accommodate your request (subject to availability). A change fee of $75 per person (or $100 for US clients) applies. Requests made less than 12 weeks before departure will be treated as cancellations and subject to cancellation charges.


7. Cancellation by Deeperserengetisafaris

We reserve the right to cancel a safari due to circumstances beyond our control (e.g., force majeure, security, non-payment). In such cases, we will offer:

  • An alternative safari of similar standard, or

  • A full refund of monies paid.

Compensation is not payable in cases of force majeure (including natural disasters, political unrest, pandemics, or airline disruptions).


8. Pricing & Website Information

All prices are quoted in US dollars (USD), based on two persons sharing, unless stated otherwise. Published website prices serve as guidelines only; final pricing will be specified in your invoice. Costs such as visas, travel insurance, personal expenses, tips, or optional excursions are excluded unless otherwise stated.

Quotes are valid for 14 days from the date of issue.


9. Travel Documents

Safari documents (vouchers, tickets, and travel info) will be sent approximately two weeks prior to departure. Clients are responsible for checking the accuracy of documents upon receipt.


10. Passports & Visas

It is your responsibility to ensure you hold a valid passport (minimum six months validity from the final day of travel) and any required visas. Tanzanian visas are available on arrival ($50 per person, US citizens $100) or from Tanzanian embassies in advance. Deeperserengetisafaris cannot be held responsible for denied entry due to incorrect documents.


11. Insurance

Comprehensive travel and medical insurance is mandatory for all travelers. This must cover:

  • Medical expenses and emergency evacuation

  • Repatriation

  • Cancellation or curtailment

  • Loss or theft of baggage, money, and personal items


12. Health & Disabilities

Clients must disclose any medical conditions or disabilities at the time of booking. We reserve the right to decline a booking if we cannot meet special requirements.


13. Liability & Responsibilities

  • Deeperserengetisafaris accepts responsibility for the standard of services provided as described.

  • We do not accept liability for services outside our contract (e.g., optional activities booked locally with third-party providers).

  • Force majeure events release us from liability.

  • Our liability for any claim (excluding death or personal injury caused by our negligence) is limited to 200% of the safari cost.


14. Complaints

If you encounter problems during your safari, notify your guide, lodge manager, or representative immediately. If unresolved, submit a written complaint to us within 28 days of returning home. Failure to follow this procedure may affect your claim.


15. Governing Law

These Terms and Conditions, and any disputes arising under them, shall be governed by Tanzanian law. The courts of Dar es Salaam have exclusive jurisdiction.
